Management of Personnel Records Center

Procurement Agency: The Centers for Disease
Control and Prevention (CDC)
Project Summary:
ISPA provides record management services to the CDC Personnel Department.
Services include the operation and maintenance of the CDC Personnel
Records Center. We are responsible for the control and maintenance
of approximately 7,000 official personnel files (OPFs) and related
records (medical, pay, and performance folders for each employee)
for a total of approximately 28,000 file folders. The records
are under our physical control in a limited access space and
are housed on mechanical Rolodexes. The folder inventory is
maintained on an on-line automated system that is accessible
by the Personnel Department staff for inquiries, retrieval requests,
location status, etc. The process for checkout and check-in
of personnel files is similar to a library operation, with exception
that access is limited to designated personnel. As part of our
services, we are responsible for responding to employment verification
inquiries from the general public. We are also responsible for
file maintenance and records dispositioning as required in the
event of various personnel actions, e.g., transfers, retirement,
death, etc.
